| Outlook Express is a very popular e-mail program used widely across the world. Microsoft suite of applications carries this e-mail application as part of its package. While individuals may still prefer web-based e-mail programs, Outlook Express is preferred by businesses for its ability to keep everything organized and maintain large number of messages for a long time. It’s also less susceptible to spam in comparison to web-based e-mail accounts and has a much bigger capacity than them. However, there’s a limit to its size. Beyond 2 GB, .dbx files where email messages are stored start to break and get corrupted (Each .dbx file represents a mail folder in OE). Outlook Express is mainly used for two purposes: to send mails and to retrieve and read messages sent by others to you. To send messages to others over internet, OE uses a protocol called SMTP or Simple Mail Transfer Protocol code. Mails are sent to other email addresses in the form of username@domainname. Domain names usually end with .com; however, there are other commonly used end extensions like .net, .edu, .org etc. Default settings for sending messages to others allow you to send messages in HTML or Hypertext Markup Language that enables use of images, font colors and other advanced features alongside text. Outbox: It’s just a temporary holding place for all your mails that have been just sent but have not reached their destination yet and are still in the transition process. As soon as the mail is delivered to your recipient, it will disappear from Outbox folder. Usually, when your Outlook Express or connection is going slow, you’ll find your sent mails in there for a longer time than normal and if it fails to get delivered eventually, it will remain there until deleted or resent. Sent Items: After the messages have been delivered to your addressees, they will show up in Sent Items folder and will remain there forever unless deleted. Deleted items: Here, all your deleted messages will always remain stored till you delete them one by one or by emptying your Deleted items folder. But again, you don’t need to regret over any accidental deletion from this folder or deletion as a result of .dbx file corruption as recovery is still possible. Drafts: This mail folder is of interest to you when either you have half-created a mail or want to send it later. OE will automatically save a draft of the message you’ve written but not sent after asking for your consent. Again, you can create a number of folders on your own and give it names you like to keep all mail messages organized and sorted out to differentiate important and unimportant messages or differentiate to separate different senders. Attachments: You can attach documents to your outgoing messages. You can attach Word documents, Excel sheets, PowerPoint presentation, picture files, videos, music files, voice messages and email these to the addressees. Address Book: Outlook Express comes with an Address Book to hold all your contacts so that you can save them in there and use later when you want to send a message to one of these addresses. Apart from their e-mail addresses, you can store full address details of your contacts, including their postal addresses, phone numbers, and other necessary information. You can also create groups for your contacts to email as per your convenience and for customized mass mailing. Signature: You can add your signature containing your full postal address, phone number etc. to all your outgoing messages by choosing Signature option from “Option” button on Tools tab. Having explained these various utilities of OE, it’s also imperative to mention here the fact that all these features, including the main functions of sending and receiving messages, can get hampered as a result of a corruption in .mbx or .dbx files. Worst of all, your important messages could get deleted from your “Deleted Items” folder. But you needn’t think its’ all over as you can get everything back, just at a few clicks of your mouse.
